EPSRC Science Photo Competition 2017 - Terms and Conditions

General conditions

  1. The promoter of the EPSRC Science Photo Competition is the Engineering and Physical Sciences Research Council (EPSRC). EPSRC aims to support excellence and promote the benefits of outstanding UK Engineering and Physical Sciences Research.
  2. Entry to the competition is free.

Details for entrants

  1. The competition is open to EPSRC-supported researchers and EPSRC-supported doctoral students. All entrants must be working on research that is supported by EPSRC funding and can provide a valid EPSRC grant reference number. If the grant is a collaborative award that has only been part-funded by EPSRC, EPSRC must be the lead on the project and a valid EPSRC grant reference number will still be required. EPSRC grant reference numbers begin with EP/0000000/0.
  2. EPSRC staff members are not eligible to enter.
  3. All entrants are required to provide the name of the Principal Investigator on the grant reference you provide for validation purposes.
  4. The competition opens on Wednesday 04 October 2017. The closing date is 16.00hrs (GMT) on Wednesday 06 December 2017. EPSRC reserves the right to extend the duration of the competition if necessary.
  5. Please submit entries electronically via the online Photo Competition entry form.
  6. Entrants may submit up to three images in the same or different categories.
  7. Entrants are permitted to submit the same image into a maximum of three categories.
  8. All images must demonstrate 'Research in Action'.
  9. Images must be in a digital format (e.g, JPG) at a minimum of 300dpi and between a minimum file size of 5MB and a maximum file size of 25MB. Images can be downsized for submission but winners will be required to provide a high-resolution version of their entry. Images that have been nominated for a prize in any other major photo competition are not eligible.
  10. All winning entrants will be required to supply their image in a high-resolution format for print and publicity purposes.
  11. Prints or images submitted by disc are not permitted.
  12. No nudity or portrayals of illegal or unethical activities. Submissions that, in the sole discretion of the judges, are considered inappropriate or unsuitable for publication will be deemed ineligible and removed from the competition.
  13. Images that do not conform to the image or abstract specifications will be rejected.
  14. Copyright of the entire image (before and after any manipulation) must be held by the entrant. EPSRC reserves the right to request confirmation of copyright.
  15. All entrants must submit an extended caption of maximum 150 words putting the research into context in plain english. The caption must be comprehensible to the lay reader and will be taken into consideration by the judges when making their decision.
  16. EPSRC reserves the right to use all submitted photographs, including those not chosen to win prizes, in promotional materials without further permission from, or providing payment for use to, the photographer. Credit may be given to the photographer if reproduced. Entrant will retain copyright.
  17. You represent and warrant to EPSRC that i) you are the sole and exclusive owner of your submission, or that you have all right and authority to grant the rights in the submission to EPSRC described herein; ii) you have obtained any and all releases necessary from all persons (or their legal guardians) depicted in the submissions.
  18. Images in public spaces do not require release from background people/subjects.
  19. All entries should be accompanied by an entry form, image caption and short 150-word extended caption describing the image and research behind it ensuring the caption is written for a lay audience using plain English and avoiding jargon.
  20. Entrants must declare if images have been manipulated (e.g, modified in Photoshop) and provide details of when and where the image was taken and the camera or equipment used to take the image.
  21. By entering the competition, entrants agree for their images to be publicly displayed in online photo galleries on Flickr and Facebook, in compliance with their user terms and conditions. All short-listed photos will be uploaded to the EPSRC Flickr page. Further information about these user terms can be found on Facebook and Flickr/Yahoo.
  22. By entering this competition, if your entry is deemed eligible, you consent to the use of your name, biographical information, winning entry and any statements attributed to you, or photographs of you taken subsequently, being used for promotional purposes without additional compensation to you. As such, you hereby grant to the EPSRC and any subsequently agreed official sponsor or sponsors a non-exclusive, royalty-free licence to reproduce works based on your submission without any obligation to compensate you.
  23. EPSRC does not accept any liability for lost, damaged, delayed or incomplete entries.
  24. Entrant retains copyright of the image submitted but EPSRC request that they are advised before using the image for public viewing elsewhere to avoid conflicts of interest.

Judging and prizes

  1. The total prize fund will be advised at the time of judging.
  2. Entries will be judged on their visual impact, public appeal and ability to convey research in action. Entries will be judged alongside the extended caption putting the image into context. Judges appointed by EPSRC will nominate the winning entries and their decision is final.
  3. Winners will be chosen in January 2018. Winners will be announced in February 2018.
  4. Prizes will be awarded in March 2018. Winners will be contacted directly by email.
  5. The judges are subject to change without notice at the sole discretion of EPSRC.
  6. Winning images may be used in national coverage, and press may wish to contact winners following an announcement of the winners.
