Call for exhibits and activities: application guidelines

EPSRC is holding a showcase event on Wednesday 21 February 2018 at the Royal Society, London to promote the importance of EPSRC investments, in the context of UK prosperity. Addressing industry, government departments and researchers, the event will feature a research exhibition and panel discussions and debate.

We are looking for researchers to be part of the exhibition to showcase their EPSRC-funded projects. There will be around ten static ‘table-top’ exhibits, with an additional three to five roaming ‘buskers’ that will circulate throughout the event.

Exhibition Purpose

The event aims to engage a range of audiences with the social, cultural and economic impact of EPSRC investments. An exhibition will be the visual backdrop for the event, providing a snap shot of our broad portfolio. The exhibition will be segmented into four areas, displaying projects aligned to the EPSRC Prosperity Outcomes:

The leads for the successful applications will work with an external agency to co-create the exhibit content and design. Costs for the development of the exhibits and any travel and associated costs for attendance on the day will be covered by EPSRC within an agreed budget.  Exhibits developed for the event will be owned by the lead researcher following the event, with the intention that the content created will need to be available for future public engagement activities.

Application Criteria

All applications should:

  • Demonstrate how the exhibit links to one of the four Prosperity Outcomes
  • Include engaging and accessible content for a lay audience that increases awareness and understanding of engineering and physical sciences research
  • Have the potential to be used again in the future

Exhibits should also address at least one of the following aims:

  • Demonstrate how fundamental science helps drive innovation
  • Demonstrate the impact of EPSRC investments – recognising that impact can take 10 - 40 years, we are looking for projects that show the breadth of this timeframe
  • Promoting the value of multidisciplinary research

Exhibitor Requirements

Exhibitors will be required to:

  • Work with EPSRC and an external agency to co-create exhibition content and design for their EPSRC-funded project
  • Provide details of their project to be included in promotional material
  • Attend the event on Wednesday 21 February 2018 to set up and facilitate their exhibit

Assessment Process

  • An EPSRC panel will assess applications against the following requirements:
  • Clear link to one of the four Prosperity Outcomes
  • Potential to engage diverse audiences with engineering and physical sciences research
  • Potential to be used for future public engagement events
  • Ability to demonstrate how fundamental science helps drive innovation through to impact
  • Ability to demonstrate either the long or short-term impact of EPSRC investments
  • Ability to show value of multidisciplinary research

Who can apply:

This opportunity is open to EPSRC-funded researchers only. Please provide your research grant number on the application form. If the grant is a collaborative award that has only been part-funded by EPSRC, EPSRC must be the lead on the project and a valid EPSRC grant number will be required (eg. EP/0000000/1).

Individuals and teams can apply. Please note if applying as a team, one person must act as the overall lead for the team and will be the person with whom all correspondence will be sent. Names of the other team members should be included in the application.

Deadlines and timetable:

  • Monday 23 October 2017 – deadline date for submissions
  • Monday 30 October 2017 – applicants will be notified if successful or unsuccessful
  • Wednesday 2 November 2017 – exhibition company will make contact
  • Wednesday 21 February 2018 – event day

By submitting an application, I agree to:

  1. Hold my activity during the EPSRC Showcase to be held on Wednesday 21 February 2018
  2. Ensure that my activity complies with the application criteria
  3. Cover the cost of staff time associated with the development of the exhibit
  4. Promote the EPSRC brand in any marketing or publicity materials I produce in compliance with the EPSRC branding guidelines
  5. Use appropriate hashtags (including #EPSRC) when promoting my activity on social media
  6. Inform EPSRC of any changes to my activity, including risk of cancellation, at my earliest opportunity
  7. Allow EPSRC to keep a copy of photographs and filming taken at the event for possible use online and in future EPSRC publications.
